The step-by-step manual (what your first weeks look like)

This is the hands-on manual: follow it in order and your farm is fully running without trial and error. It answers the five daily questions — what do I do today, which cow, is the milk safe to ship, did the work get done, and are we making money.

DocDairy is available in 10 languages — English, Persian (فارسی), Arabic (العربية), French, Spanish, Portuguese, Dutch, Turkish, Hindi (हिन्दी) and Urdu (اردو) — including full right-to-left layout and the Jalali calendar. Switch anytime from the language menu.

1. First sign-in (5 minutes)

  1. Open your farm's address and sign in with your email and password.
  2. Pick your language on the login page.
  3. If your login serves several farms, choose one in the farm chooser (switch later from the header).
  4. Follow the one-time guided tour — it shows the sidebar, farm switcher, notifications and help.
  5. You land on your own job: workers on Today, vets on Health, owners on the Dashboard.
  6. On a phone, use your browser's Add to Home Screen — DocDairy installs like an app and Barn mode works offline.

2. Set up the farm (day one — follow Get started in the sidebar; it ticks itself off)

  1. Pens: Barns/Pens → Define a barn/pen for each group you actually use (milking, dry, calves…).
  2. Herd: Herd → Import animals from CSV/Excel with columns ear_tag, name, birth_date (YYYY-MM-DD), breed, sex (FEMALE/MALE), weight_kg — bad rows are skipped, not fatal. Coming from DairyComp 305, use Import. Or add cows one by one with Add a cow.
  3. Medicines: Treatments → enter your medicines with their milk and meat withdrawal days — this powers the automatic do-not-milk warnings.
  4. People: Users → add each worker (email as login is best — always unique) with a role from the table below.
  5. First milk: Milk production → enter today's milk so charts start meaning something.
  6. First task: Tasks → create one real task and assign it. Optional: connect parlor/collars under Devices.

3. The daily routine (10–15 minutes)

  • Open Today every morning — cows to breed, vaccinations due, withdrawals ending, your tasks. Everything links to where you record it.
  • In the barn use Barn mode: pick the cow, pick the action (milk, treatment, observation, heat), save. No signal? Entries queue and sync later.
  • Treatments need only cow, medicine, date, reason — withdrawal dates fill in automatically and the cow is flagged.
  • Record heats when you see them; after service record the insemination, later the pregnancy check.

4. The weekly rhythm (owner/manager)

  • Milk quality: enter bulk-tank tests (SCC etc.), record shipments and discarded milk.
  • Dry-off: confirm cows the app flags as due. Calving: record each calving and register the calf to its dam.
  • Feeding: keep feed types and costs current — this feeds profitability.
  • Tasks & SOPs: check what got done; recurring checklists live as SOPs.
  • Repro analytics: conception rate, days open, and the needs a decision list.

5. The money view (monthly, owner)

  • Profitability: income over feed cost (IOFC), margin per cow, break-even milk price — from your real records.
  • Cow value: every cow ranked economically (herd average = 100), cull candidates flagged.
  • Reports & KPI targets: exportable reports; set goals and watch them.

6. Housekeeping and help

  • Settings: units, language defaults. Backups run nightly; export everything to CSV anytime.
  • AI assistant (paid add-on): ask questions about your own herd in plain language.
